VCAIS Status Update
Mr. Beasley explained that a committee has been formed to review case management systems. LaBravia Jenkins and Nate Green are chairing that committee. Mr. Green reported that he investigated the current status of VCAIS and determined that VCAIS is not broken. No one should feel that they have to immediately change systems. The problem lies with long-term maintenance and support because they eventually will become unavailable. He advised that everyone should be thinking about changing their case managements systems in the future.
Ms. Jenkins reported that she has been looking into alternate case management systems. She will invite representatives from various software providers to attend upcoming council meetings. John Lowery from SunGard gave a brief presentation about SunGard’s case management software. He discussed the progress of their project in the Virginia Beach Commonwealth’s Attorneys’ Office. Mr. Lowery explained the price of a system depends on the number of workstations upon which it will be loaded. A general entry point would be $15,000 – $20,000, plus installation and training costs (estimated to be between $8,000 and $12,000.) The annual maintenance cost is 25% of the initial licensing fee. Mr. Lowery indicated that SunGard is open to volume discounts and special pricing. Generally, installation of a new case management system takes 6 to 9 months from start to finish. He further noted that SunGard’s parent company also produces PISTOL. The two systems can be integrated to share information. Mr. Green advised that it is possible to migrate data from VCAIS to other software systems, but it is an involved process.
